1. Who we are.
GreenOS is a sales-leaderboard and performance-tracking application operated by Green Operating Solutions ("GreenOS," "we," "us"). This Privacy Policy explains what information we handle and how. The GreenOS service is intended for use only within the United States.
2. Our two roles.
GreenOS handles information in two different capacities. For the account, billing, and marketing information of agency owners, and for visitors to our website, we act as a "controller" — we decide how that information is used. For the activity and profile data of producers within an agency, we act as a "processor" — the agency decides what is tracked and why, and we handle that data on the agency's behalf. If you are a producer with questions about your data, your agency is your first point of contact.
3. Information we handle.
Account and identity information: name, email address, password (stored encrypted by our authentication provider), profile photo, role, and agency details such as agency name and logo.
Activity information: the sales activity you log (contacts, demos, enrollments set, families protected), including counts, dates, and timestamps, and information derived from it such as leaderboard rankings, pace, streaks, and reports.
Operational information: events, event responses, broadcast messages, notifications, and support requests.
Marketing information: if you opt in, your email address and subscription status for marketing communications — including GreenOS product updates and announcements, marketing newsletters, and promotional content. Promotional content may include recommendations for third-party products or services through affiliate partnerships, in which we may earn a commission. We will disclose affiliate relationships within individual promotional emails.
Technical information: push-notification identifiers if you enable notifications, and standard server logs such as IP address and browser type generated by our hosting providers.
4. How we use information.
To provide and operate the GreenOS service; to display leaderboards, pace, streaks, and reports; to send service messages such as invitations, reports, and notifications; to provide support; to maintain security and prevent abuse; to meet legal obligations; and, only if you have opted in, to send marketing communications including GreenOS product updates and announcements, marketing newsletters, and promotional content (which may include affiliate partnerships and third-party offers).
5. Visibility within an agency.
GreenOS is a team tool. A producer's logged activity, rankings, streaks, and related performance data are visible to the owners and managers of that producer's agency. This is a core function of the service.
6. We do not sell your data, and we do not use it to train AI.
We do not sell personal information. We do not use agency or producer data to train artificial-intelligence or machine-learning models. If we introduce AI-powered features in the future, we will update this Policy before doing so. When we send promotional emails that include affiliate links or third-party recommendations, we do not share your contact information with those partners — we send the communications ourselves. Receiving a promotional email from us does not result in your information being transferred to any third party.
7. Service providers (subprocessors).
We use a small number of trusted providers to operate GreenOS — for hosting, database and authentication, and email delivery. A current list is available at our Subprocessors page. We keep that list up to date and will notify agencies of material changes.
8. Data retention.
We retain agency and producer data for as long as the agency's account is active. When a producer is removed from an agency, that producer's historical activity data remains with the agency as part of the agency's performance records. When an agency closes its account, we retain its data until the agency requests deletion or exports it; we do not automatically delete it on cancellation. Agency owners and managers can export activity data through the application. For a copy of other data, contact us at the address below.
9. Your choices and rights.
You may request access to, correction of, or deletion of personal information we hold about you, subject to applicable law and to the agency's rights in its own records. Because GreenOS is an agency-administered tool, account changes and removals are made by the agency owner; producers should contact their agency owner, or contact us, for help. You can opt out of marketing and promotional communications at any time using the unsubscribe link in any such email or by contacting us at the address below.
10. Security.
We use reasonable administrative and technical safeguards to protect information, including encryption in transit and at rest provided by our infrastructure providers and role-based access controls. No system is perfectly secure. If a data breach affecting your information occurs, we will provide notice as required by applicable law.
11. Children.
GreenOS is intended for users 18 and older. We do not knowingly collect information from anyone under 18.
12. Changes to this Policy.
We may update this Policy from time to time. Material changes will be reflected in the "Last updated" date and, where appropriate, communicated to agencies.
